Applying different weightings per vote - especially useful for AGM type processes

Each keypad can have a weighting applied which will be used for all votes. See https://knowledge.clikapad.com/applying-weightings-to-votes for instructions. In this article we will look at how to apply different weightings per voting slide.

The below instructions are quite often used as a method to apply postal votes to the live data. See the notes at the end of this article for more information.

1. First create all of the voting slides. 

2. Next, make a note of the Slide ID for each voting slide. To find the slide ID for each vote that you wish to set weightings for go to Add-ins > Clikapad > Help > Slide Info.

You do not need to note the Slide ID's of any questions that will not include weightings. 

Slide ID's do not change when you move the slide within the presentation or you add or delete other slides in the presentation but we recommend that you test after any changes to the deck.

3. Weightings will need to be set up in your ppvote Participant List. For every question, you will need one line per keypad which requires a weighting. To generate a participant list go to Add-ins > Clikapad > Set up > Participants / Keypad names.

In the example below, weightings will be used for the voters with keypads 1, 2 and 3 and those weightings apply to 3 voting questions. 

Please note, the colour coding of the cells is not required. We simply applied a fill colour to demonstrate that each block of three is for a specific Slide ID.

It is essential that you keep the participant within the same folder as the PowerPoint presentation. Do not change the file name, it needs to be ppvote Participant List for the software to be able to read it. 

4. When you run the voting, you do not need to keep the participant list open. Simply ensure that you have saved any changes before you close it. 

5. IMPORTANT NOTE: Weightings can only be applied to the live results, they are not compatible with the Excel export. Please ensure that prior to running the data export you rename the ppvote Participant List or move it to a different folder. This will prevent the software from attempting to read the file, which will cause error 9, subscript out of range. To clear that error if it occurs, you will need to go to Task Manager and End Task on the ppvote Quiz Module.

POSTAL VOTES: Per slide weightings can be used as a method to 'pull in' postal votes. Ahead of your meeting, gather your data via a survey or similar. Assuming that you are using votes with 1 for yes, 2 for no and 0 for abstain, set up the ppvote Participant List as follows:

Simply set up keypads 1-3 to handle yes, no and abstain votes. Label the name for keypad 1 as Yes, for 2 as No and for 3 as Abstain. Add you postal vote data for each vote to the spreadsheet.

On the meeting day, have a member of your team vote 1 on keypad 1, 2 on keypad 2 and 0 or keypad 3. The postal votes will then be included in the totals. BE VERY CAREFUL when voting and ensure that for every vote you have received a vote from keypads 1, 2 and 3. We recommend that you press K on your keyboard while the vote is open, as this displays which keypads are yet to vote. You will want to double check that the system is not waiting for keypad 1, 2 or 3 before you close each vote.
